Attendance Policy
SWVS 2009 is designed to provide continuing education to members of the veterinary profession and their support staff. SWVS reserves the right to determine attendance and participation for non-veterinarians. The symposium is not designed to accommodate interests of the general public or other professionals unrelated to veterinary science. Only paid professional registrants with official SWVS 2009 badges are allowed to attend continuing education sessions and all events included with registration fees. ID may be required.

Continuing Education and Certification
More than 400 hours of quality continuing education courses are offered at SWVS 2009 for practitioners, veterinary students, technicians, veterinary technician students, practice managers, office staff, and hospital personnel. Complete 4-day registration includes access to the following: all lectures (with the exception of Interactive Labs/Workshops/CE Tour Events/Master Class/Meet the Expert Luncheons and the Design Conference); Exhibit Hall, Exhibit Hall Reception, lunch on Friday in the Exhibit Hall; access to the SWVS Hospitality Center (Friday, Saturday, and Sunday); the DVM Alumni/DVM Student, and Technician/Technician Student/Hospital Personnel Receptions; and the Exhibitor Satellite Sessions.

ID Required
ID will be required to pick up on-site packages and any on-site ticket sales. Valid driver’s license, U.S.- issued identification such as passport, or student ID will be accepted. International attendees will need a valid passport for identification.

Pre-Registration Packets/Passports Mailed
Register by August 21 and your registration/passport packet(s) will be mailed to you with your name badge, symposium bag ticket, lunch ticket and tickets you have purchased for Interactive labs/Workshops, Meet the Expert Luncheons, social events, proceedings, etc.


Name Badges - DON'T FORGET TO PACK YOUR NAME BADGE!
All paid registrants who register by August 21 will receive their name badge either in their pre-registration mailing. When registering, please be sure to clearly spell names to ensure we mail you correct badges. Should you need a replacement badge, a badge fee of $25 will be charged. We all try to avoid extra costs but a replacement fee is needed to keep our meeting costs to a minimum and save you money!

Veterinary Students and Veterinary Technician Students Registration
A copy of a current student identification card, letter of verification, or a letter written on official letterhead signed by a professor is required to register as a veterinary student or technician student for SWVS 2008. You can register online to receive an acknowledgement of your registration but you must provide a student ID to be confirmed. Your registration must be confirmed before August 21 to have your packets mailed to you. You may fax or mail in your student information before the Symposium.

One-Day Registration
One-day registration includes the following: access to all lectures and events (with the exception of Interactive Labs/Workshops/CE Tour Events/Master Class/Meet the Expert Luncheons and the Design Conference) scheduled for that day; access to the Exhibit Hall exclusively for the day the registration was purchased; access to the Hospitality Center; complimentary refreshments during breaks; and access to any non-ticketed social event occurring the day the registration is purchased. If you register for Friday a lunch ticket and a drink ticket for the Exhibit Hall Reception are included.

Twilight CE Package Registration
DVMs only. Twilight CE registration includes the following: access to all evening lectures (with the exception of Interactive Labs/Workshops/CE Tour Events/Meet the Expert Luncheons and the Design Conference) scheduled for all three nights from 7:00 – 9:40 pm daily and access to the Exhibit Hall Reception on Friday and the DVM Alumni/DVM Student reception on Saturday.

Exhibits Only Badges
An Exhibits Only badge is offered for purchase for Friday, Saturday or Sunday. The price is for one day and includes admittance to the Exhibit Hall during the hours of operation. Friday badge includes a lunch ticket, refreshments served at designated times, and the Exhibit Hall Reception that evening. Saturday tickets include refreshments served at designated times. Sunday tickets include refreshments served in the morning.

Guest Badges
All guests include family members or guests who are not veterinarians, veterinary technicians, office staff, or practice managers. All veterinarians, veterinary technicians, office staff or practice managers must register and pay registration fees. Additional guest badges are available for $40. This allows guests to attend non CE events, exhibits, and non-ticketed events. Guests are welcome to attend ticketed events (social only) with the purchase of a ticket for those events. Guests who wish to attend CE sessions must register and pay.

Children
Children age 17 and under do not require a name badge but must be accompanied by a registered attendee. A ticket is required for anyone over the age of 2 years at all ticketed social events. Children are not permitted in any CE sessions.

Proceedings
A combined CD-ROM/book set with DVM and technician proceedings will be available for $45 if ordered by August 14. Advance orders are required. There will be no on-site sales of the Proceedings Book Set.
Proceedings/CD ROM only format are available to pre-order by August 14 and will be available on-site for $35 while supplies last. Simply check the box on the online registration form.  You will receive a ticket in your packet to pick up your copy on-site.

Rabies Antibody Titers and Booster Vaccinations
The Advisory Committee on Immunization Practices (ACIP) categorizes individuals on the basis of their risk of exposure to the rabies virus. Veterinarians in rabies endemic areas, such as the south-central United States, are classified in the “Frequent” risk category. The recommendation for this category is to have a primary vaccination series. After that series, do serological testing using the rapid fluorescent focus inhibition test (RIFFIT) every two years and administer a booster vaccination if the titer is less than adequate.

The SWVS, in collaboration with the Texas Veterinary Medical Association, offers you the opportunity to have blood drawn for a titer determination. Blood will be drawn on Saturday, packaged, and shipped to a laboratory for titer determination. Results will be sent to the SWVS staff, who will forward your titer to you. Estimated turnaround time is three weeks. Cost of the titer will be $40.

If it has been a relatively long time (5 or more years) since you had a rabies booster vaccination or a titer determination, you may want to elect to have a booster vaccination instead of having a titer run. Cost of the vaccination will be $200.

Sign up for either a titer or rabies booster as you register. Appointment times for the procedures will be sent to you, prior to the meeting.

Design Conference
The fifth annual Design Conference will be held this year on Thursday, Sept 24 and Friday, Sept 25 at the Henry B. GonzalezConvention Center. Attendees have the option to attend one or both days of the Design Conference. Proceedings are provided to pre-registrants only. For complete details, please see our special Design Conference section.

Registration to SWVS 2009 is not required to attend the Design Conference.

Interactive Labs/Workshops/CE Tour Events/Meet the Expert Luncheons
You must be registered for SWVS 2009 (complete or one-day) to attend these ticketed CE offerings, with the exception of the Pet First Aid Instructor Development Workshop. An additional fee is required for these enhanced learning environments. Registrations are accepted on a first-come, first-served basis until the maximum capacity is reached.

NOTE: The registration deadline for these ticketed CE offerings is August 14. A $25 cancellation fee applies for cancellations made prior to August 14. No refunds will be given after August 14 for cancellations. These ticketed CE offerings require a minimum number of registrants to be held. If a session has less than the minimum number required, it will be cancelled in late August. Participants will be notified and appropriate refunds will be processed.

IMPORTANT NOTE: Cancellations cannot be taken over the phone.


Social Events
A number of special social events will be held during SWVS 2009. Those included with your registration fee include:

  • Exhibit Hall Reception
  • DVM Alumni/DVM Student Reception
  • Technician/Technician Student/Hospital Personnel Reception
  • SWVS Hospitality Center
  • Refreshments Served in Exhibit Hall

Social events that require a separate registration fee include:

  • Auxiliary Luncheon
  • SWVS Golf Tournament

Lunch Tickets
Complimentary hot buffet lunch, sponsored by Bayer Animal Health, will be provided to all registered professional attendees on Friday in the Exhibit Hall. Guests may pre-purchase a Friday lunch ticket at the time of registration as well as on-site at the Symposium. On Saturday and Sunday lunch concessions are available in the Exhibit Hall.

IMPORTANT: Any mailed or faxed registration forms postmarked after registration deadlines will not qualify for the discounted registration rate, no exceptions. Registrations are non-transferable.

Exhibitor Satellite Sessions
Many exhibitors are hosting events for registered attendees at no additional fee. They are designed to complement the educational program of SWVS. Exhibitor Satellite events are not an official part of SWVS and SWVS does not endorse the content of these events. CE Credit is not offered for these sessions.

Scholarship
Donations to the scholarship fund along with the sponsorship of Hill's Pet Nutrition, Inc assist SWVS in offering complimentary registration for DVM students and Technician students to SWVS 2009.

The LTC Daniel Holland, DVM Memorial Scholarship Fund, established in the spring of 2007, designates funds to support a newly practicing DVM's attendance at the following year's symposium. For more information on this scholarship fund and how to nominate someone for it, please click here.

Forms of Payment
VISA, MasterCard and checks are accepted for payment. All checks must be made payable to SWVS and must be drawn on a U.S. bank. If you want to register online and pay by check, a payment option for "check" is available, and your registration will only be considered confirmed on receipt of the mailed check.

IMPORTANT: Checks must be postmarked by the deadline for discount pricing. Any payment received after the discount registration deadline will be assessed the registration fee applicable to the date the check is received. Checks must be received within 5 business days after registering online.

NSF Checks and Declined Credit Cards
In the event that checks are returned as NSF or credit cards are declined, you will be notified immediately. A $35 NSF fee will apply and a replacement check will be required. Payment issues must be resolved within 5 business days of being notified or your registration will be invalid. Payment must be received by the respective deadline to qualify for the reduced registration fee.

Registration Confirmations
For efficiency purposes, confirmations are sent by email so please provide your email address! If you do not have an email address, you will receive a confirmation within 2 weeks in the mail. If you are considering an Interactive lab/Workshop or Meet the Expert Luncheon with limited space you may want to go online to register. Mailed or faxed forms require manual processing and there is a chance you may not receive your first selections. If you do not receive a confirmation within 2 weeks, please call 866-849-8870.

Cancellation Policy
Cancellation of registration and/or social events must be made in writing via email to swvsregistration@jspargo.com, via fax to 703-631-6288 or via mail by August 21. A $50 handling fee will be charged for all cancellations to cover administrative costs. Cancellation requests received after the August 21 deadline are subject to payment of the full registration fee.
