Poaching Advisory
As the date of an event draws closer, exhibitors and attendees are from time to time subjected to improper solicitation from unaffiliated hotels, third-party housing agencies, and third-party vendors. SWVS assumes the responsibility to demand a cease and desist of such efforts. We advise that you do not use any solicited services provided outside of SWVS official contractors. In our efforts to give you a quality event, we encourage you to book your housing accommodations using the reservation tools provided on this website and exhibitors service providers listed as SWVS 2012 official contractors. Beware of, and report any unauthorized solicitations to Show Management at exhibits@swvs.org.

Certificate of Insurance Information
Certificate of Insurance is mandatory for all Exhibiting Companies to participate at the 2012 Southwest Veterinary Symposium. All exhibitors shall carry general liability insurance with SWVS listed as an additional name insured. Please provide a copy of your own certificate to Exhibits via email at exhibits@swvs.org or fax at (972) 664-9805 by August 20, 2012.
Exhibit Hall Rules
Live Animals
Animals are not permitted in the convention center except in conjunction with an approved exhibit legitimately requiring the use of animals. A request for display animals must be submitted in writing to Southwest Veterinary Symposium for consideration at least 90 days prior to the conference. The Exhibitor is required to furnish medical records, type, size, weight and age of animal(s), as well as detailed plans for containment, adequate exercise, bathroom breaks, and access to food and water. When permission is granted to display live animals in a pen or other enclosure, the floor must be protected from stains by laying a leak proof covering on the floor. Any exhibit involving live animals must also comply with all laws, rules, and regulations governing their use in such activities. A request for display animals must be submitted in writing to Southwest Veterinary Symposium for consideration by June 20, 2012.
Food and Beverage
All Food and Beverage brought on premise must be purchased through and prepared by Centerplate (Dallas Convention Center Catering Service). Please visit the website for Centerplate to view Exhibitor Catering Menu and/or Sampling Authorization Form.

Badge Rules
NEW in 2012 – We will have a NEW online badge registration system for SWVS 2012. More details will be available soon.
Badges
Each 10'x10' booth will be allotted four (4) complimentary exhibitor badges. The advance rate for additional badges that exceed your company's complimentary allotment is $25 per badge. Exhibitors can register advance badges until August 27, 2012. After that date, all additions, changes, or deletions must be completed on-site.
Additional Badges
In order to receive the advance rate for badges that exceed your company's complimentary allotment, please submit names by August 27, 2012. After this date, the price will increase to $75 per additional badge and will only be available on-site.
Exhibits-Only Badges
Individuals not associated with an exhibiting company may purchase an Exhibits-Only Badge. The cost is $75 for each day.
Note: Be sure to register your company EAC staff for booth installation and dismantle.
Lunch for Exhibitors
Each 10'x10' booth will be allotted two (2) complimentary Lunch Bucks for Friday and Saturday lunch. All food and beverage may be purchased at concessions in the hall with lunch bucks, cash, or credit card (AX, MC, VS).
CE for Exhibitors
All veterinarians and technicians employed by an exhibiting company can receive a 50% discount on conference continuing education sessions. Exhibiting company team members registered for continuing education sessions MUST be included on the company's exhibitor badge registration. Proper registration and attendance is required to earn CE credits. Labs and additional activities require full payment at the time of registration. (Registration must be sent to SWVS Exhibits Manager for processing.)
